Role Context:

The Administrative Assistant works closely with the operations and finance teams to keep office workflows organized and documentation updated. Daily tasks involve coordinating meeting schedules, preparing internal reports, and tracking supplier or client correspondence. The office currently has around 25 employees, with project managers regularly depending on administrative support during client reporting periods. This role reports directly to the Office Administrator and may occasionally assist HR staff with onboarding documents and attendance records.

Responsibilities:

Manage office calendars, meeting schedules, and appointment coordination
Prepare reports, letters, and internal documents using standard templates
Maintain organized filing systems for both digital and printed records
Incoming calls and visitor inquiries should be handled professionally
Assist with invoice tracking, expense documentation, and office supply monitoring
Coordinate courier deliveries and outgoing correspondence
Support team members with travel arrangements and meeting logistics when required
Update spreadsheets and administrative databases accurately
Follow up on pending approvals, documentation, and departmental requests

Requirements & Skills:

Diploma or certificate in Business Administration or related field preferred
Good written and verbal communication skills required
Familiarity with Microsoft Word, Excel, and email management tools
Strong organizational ability and attention to detail
